Clinical Workspace

A lightweight behavioral-health workspace built on the same compliance and access-control foundation as the rest of ClinicWarden. Progress notes, treatment plans, PHQ-9 / GAD-7, documents, consents, telehealth, and chart export options.

What “Preview” means

Clinical Workspace is available by invitation after a guided enrollment review. It is not turned on automatically for new organizations.

Until enrollment is complete, clinical documentation features are unavailable for your organization. We do not store clinical record content for your organization during that period.

Substance use disorder (42 CFR Part 2) programs: We do not currently offer Clinical Workspace enrollment for Part 2–covered programs. Contact us if this applies to you.

How access is controlled

Organization isolation

Clinical data is scoped to your organization. Staff only see clients and records their role and assignments permit.

Audit trail

Sensitive actions — including break-glass access — are logged for compliance review. Records are designed to resist silent tampering.

Two-person activation

Turning on Clinical Workspace requires separate review and authorization by two qualified people in your organization.

What’s in the workspace today

Capabilities below reflect what is available in Preview for enrolled organizations. Detailed security and compliance documentation is provided during implementation.

Care-team assignment

C-01

Per-client care team. Only assigned staff can access that client's clinical record.

Preview

Break-glass access

C-02

Time-boxed emergency access requires a written reason. Every break-glass event is written to the append-only audit chain.

Preview

Progress notes

C-03

Draft → sign → amend → void lifecycle. Every note write is hash-chained; amendments do not overwrite the original.

Preview

Treatment plans

C-04

Activate → supersede → retire → review cycle. Overdue plans surface in the caseload queue and the reports summary.

Preview

Clinical documents

C-05

Uploaded documents are anchored by SHA-256. Downloads use signed URLs. Redacted variants are supported for portal disclosure.

Preview

PHQ-9 & GAD-7

C-06

Standard behavioral-health measures. Submitted assessments are immutable and appear on the chart export as LOINC-coded observations.

Preview

Client portal

C-07

Hashed invite tokens with session redemption. Portal users see only their own information.

Preview

Telehealth links

C-08

Generate one-time telehealth links (internal, Zoom, Doxy, WebRTC). Never stores third-party video content.

Preview

Discharge workflow

C-09

Structured discharge with reason capture. Emits a domain event to the outbox and freezes new writes on the client.

Preview

Chart export (JSON + FHIR R4)

C-10

Byte-reproducible chart export. FHIR R4 US Core lite Bundle for Patient, Practitioner, Encounter, CarePlan, DocumentReference, Observation, Consent.

Preview

Caseload, queues, reports

C-11

Caseload list, unsigned-notes queue, overdue-plans queue, and reports summary — scoped to your role and assignments.

Preview (read-only)

Workspace UI

C-12

Caseload → client chart → 5 tabs (Notes / Plans / Assessments / Documents / Consents).

Preview

Consents

C-13

Records consent scope, revocation, and version. Consent state joins the FHIR chart export as a Consent resource.

The Clinical Enrollment Workflow

Turning the workspace on is a guided governance process — evidence, review, and two-person approval — not a self-serve toggle.

  1. 1

    Scope declaration

Your organization describes program type, portal and telehealth needs, and whether 42 CFR Part 2 (SUD) applies. Part 2 programs are not eligible for enrollment at this time.

  2. 2

    Requirements review

Based on your scope, we agree on onboarding artifacts — policies, agreements, and operational evidence — tailored to your practice.

  3. 3

    Evidence & sign-off

You upload materials; our team reviews each item. Outstanding gaps must be resolved before activation.

  4. 4

    Two-person activation

Two different people in your organization complete review and authorization. The same person cannot perform both steps.

  5. 5

    Workspace enabled

After approval, Clinical Workspace is enabled for your organization and clinicians can begin documentation workflows.

  6. 6

    Suspension (if needed)

Authorized staff can suspend clinical access at any time. The enrollment record is retained for audit purposes.

What this page does not claim

  • We do not claim “HIPAA compliant.” HIPAA compliance is a program property, not a product feature.
  • We do not claim SOC 2, HITRUST, or ONC certification.
  • We do not claim the workspace is a replacement for a certified EHR, an EPCS platform, a claims clearinghouse, or a PACS/LIS/HIE.
  • The published BAA template covers the compliance-layer product. The Clinical Workspace scope may require a per-organization amendment as part of enrollment.
Enrollment is a conversation, not a form
